With a main auditorium seating up to 600 boasting a unique flexible floor and seating system, together with bespoke meeting rooms and a stunning atrium area, the apex offers organisers and delegates an impressive experience.
Hire charges must be paid within 21 days from the issue of the invoice. Where a non-refundable deposit is required, this must be paid with confirmation of hire i.e. return of the completed booking form. Cheques to be made payable to St Edmundsbury Borough Council.
No copyright dramatic or musical work shall be performed or sung without the licence of the owner of the copyright. The hirer shall indemnify St Edmundsbury Borough Council against any infringement of copyright which may occur during the hiring.
Excisable liquor shall be sold or supplied by the Borough Council's in-house service except with written consent of St Edmundsbury Borough Council.
All the conditions attached to the Premises Licence (Licensing Act 2003) for the premises shall be duly observed. A copy of such licence may be seen on request to the Council's Halls' Booking Office (01284 761315) and the Hirer shall be deemed to have notice of all such conditions.
The hirer must use caterers from the select list.
St Edmundsbury Borough Council shall not be responsible for any complaints received about the standard of the catering service provided by the caterer and nor shall it be responsible for any disagreements between the Hirer and their caterer regarding the provision of the catering service.
The hirer must not bring food onto the premises without the prior consent of St Edmundsbury Borough Council.
No stage play shall be performed unless it has been previously approved by St Edmundsbury Borough Council.
The hirer shall not sub-let the premises or any part thereof.
St Edmundsbury Borough Council shall not be responsible for:
any loss of or damage to any property arising out of the hiring, nor for any loss, damage, or injury which may be incurred by, happen to or be done to any person(s) attending the premises during the hiring, or
any loss due to any breakdown of machinery, failure of electricity, leakage of water, fire, government restriction or act of God which may cause the premises to be temporarily closed or the hiring interrupted or cancelled.
The hirer shall indemnify St Edmundsbury Borough Council against any claim in respect of any loss, damage or injury which may arise from the hiring or which may be made by person(s) attending the premises during the hiring.
The right of entry to the premises is reserved to any authorised Officer of St Edmundsbury Borough Council, any Police Officer and the Fire Officer at any time during the hiring.
The hirer shall be responsible that good order is kept in the premises and will liaise with St Edmundsbury Borough Council to ensure that a proper number of attendants and stewards for the efficient supervision of the premises and for the safety thereof is provided. The costs incurred by St Edmundsbury Borough Council for making this provision will be agreed in advance and added to the final invoice.
No bolts, nails, tacks, screws, wires or the like, shall be driven into or attached to any part of the premises nor shall any placards or other articles be affixed thereto.
The hirer shall at the end of the period of the hiring leave the premises in a clean and orderly state and, in default of so doing, will indemnify St Edmundsbury Borough Council against costs incurred in making good the premises.
No flags, emblems, advertisements or other decorations shall be displayed inside or outside any part of the premises without previous consent of St Edmundsbury Borough Council, and the hirer shall remove any such flag, emblem, advertisement or other decoration if in the opinion of any duly authorised Officer of St Edmundsbury Borough Council it exposes the premises to an undue fire risk.
No additional lights or extensions from the existing light fittings shall be used without the previous consent of St Edmundsbury Borough Council.
The hirer shall not do or allow to be done anything which may, in any way, put at risk any insurance policy for the premises. Such insurance policies shall be inspected by the hirer at the Council's Chief Finance's Officer during normal office hours. The hirer shall be deemed to have had notice of the contents of such policies, whether he inspects them or not.
The hirer shall not make any alteration in the seating arrangement of the premises without the consent of a duly authorised officer of St Edmundsbury Borough Council.
In the event of any damage or loss to the premises, or its surroundings, or to anything within the said premises or surroundings arising out of the hire, the hirer shall make good at his own expense all such damage or loss. If the hirer fails to do so within two days of the occurrence the hirer shall be taken to have authorised St Edmundsbury Borough Council to make good such damage or loss and the hirer shall indemnify St Edmundsbury Borough Council against all costs, charges and expenses in respect of the damage or loss.
The hirer will ensure that dancers wear suitable footwear when dancing in the said premises and a duly authorised officer of St Edmundsbury Borough Council may require dancers to leave the premises if their footwear is in his opinion likely to cause damage to the floor.
Any electrical appliances brought onto the premises must carry a current Portable Appliance Test (PAT) certificate.
If the premises are hired for a public event for which tickets will be sold:
Public Liability insurance in the sum of £5m must be obtained by the hirer and a copy thereof submitted to St Edmundsbury Borough Council prior to the event or,
As soon as possible after the booking the hirer will submit to the Halls Booking Office (01284 761315) copies of all advertising materials regarding the event for which the premises have been hired. St Edmundsbury Borough Council reserves the right to cancel any booking it feels is immoral or offensive in any way and any deposit made by the hirer will be refunded in full.
No part of the premises is to be used for any purpose other than the purpose of the hiring.
No part of the premises is to be used for any unlawful purpose or in any unlawful way.
No animal is to be brought into the premises or allowed to enter the hall without the consent of St Edmundsbury Borough Council.
The hirer shall not to grant broadcasting or filming rights without the prior consent of St Edmundsbury Borough Council but cameras may be brought into and used inside the premises for private (but not commercial) purposes provided that no nuisance or annoyance is occasioned.
Provisional bookings will be held for one month unless otherwise agreed. If you need more time before you are able to confirm a booking please contact the office.
The arrival time on the booking form refers to the time the hirer requires access to the premises. The hirer is required to liaise with any personnel associated with his/her event to ensure that adequate time is allowed for their preparation and breakdown.
Due to the sensitivity of alarm beams only air-filled balloons can be permitted in the Athenaeum and apex.
The hirer shall not use or allow to be used equipment or any other product relating to the making of smoke.
The hirer shall not use or allow to be used candles or naked flames on the premises at any time.
Liquid petroleum gas (LPG) is not permitted on the premises at any time.
In cases of unforeseen emergency where the use of the premises are required by the Council and/or the Emergency Services, the booking will be cancelled with immediate effect and, where the event has commenced, the hirer will be responsible for ensuring the premises are vacated as soon as possible. Any deposit paid by the hirer will be refunded in full.
St Edmundsbury Borough Council undertakes that during the period(s) of the hire the premises will be properly heated and lighted.
